Add your full name on the next line for formal and semi formal. For informal, first name is fine.

Punctuation and format tips

  • Use a comma after the greeting and the sign off.
  • Leave a blank line between paragraphs.
  • Capitalise names, titles, months, and I.
  • Keep sentences short and goal focused.

Common errors and quick fixes

  • Mixed tone: Dear Sir with Best. → Pair correctly.
  • No purpose line: The reader must know why you write in sentence one.
  • Missing bullet points: Tick each task bullet before writing.
  • Vague request: Add a clear action and a time marker.
  • Over casual in formal letters: Avoid contractions in formal unless quoted.
